Nextt&Mason is seeking an Interim Quality Manager for an independent non-profit association with members from Sweden’s private and public organizations, for example companies, authorities, municipalities and regions, industry associations and voluntary organizations.

The association’s management system is certified to

ISO 9001 Quality,

ISO 14001 Environment and

ISO 45001 Occupational Health & Safety. At the most recent external audit (May 2024), several non-conformities and observations were noted. The association needs to handle and address these while at the same time undertaking a major overhaul of the entire management system.

As the organization does not have the time to drive this process internally, it has decided to bring in an Interim Quality Manager who will lead and support the work of streamlining the Management System and thereby improving the organization’s business processes, as well as ensuring that stakeholders’ requirements and expectations are met.

There is a lack of a common structure and layout for how processes should be described. There are also challenges related to ownership by process owners, which affects the maintenance and development of the processes. ISO 9001, 14001 and 45001 are not fully integrated with each other. Some business-critical processes are completely missing, and KPIs as well as criteria for follow-up are lacking for several processes.

Responsibilities

• Challenge, scale down and carry out a comprehensive overhaul of the processes in the management system so that it contains only the processes necessary to achieve goals and strategy.

• Identify and establish appropriate criteria and KPIs for the processes.

• Conduct stakeholder analyses for the processes.

• Ensure that planning for and management of risks and opportunities are included as a natural part of the processes. Include future outlook/scanning.

• Implement a common structure, layout and level of maturity for the processes, from input to output, illustrated in a simple and concise way.

• Support and challenge process owners and process developers in the work of overhauling the processes.

Requirements Profile

• Very strong knowledge and practical experience of working with the ISO 9001 management system, preferably within the service sector. Experience with ISO 14001 and 45001 is desirable but not a requirement.

• Experience in process mapping and documentation, with the ability to create clear and structured processes.

• Ability to inspire and engage employees and communicate effectively to create understanding of the value of the management system within the organization.

• Strategic ability to take a broader perspective, identify business-critical elements and challenge process owners and developers to focus on what is most essential, with the aim of reducing unnecessary complexity.

• Experience in facilitating and leading workshops focused on process development and improvements.

The Quality Manager reports to the Head of Strategy and Digitalization, has no direct reports and is not part of the management team.
